This policy explains what personal information CF IT Solutions collects, why, and what we do with it. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).

CF IT Solutions is run by Jeffry. When this policy says "we", "us" or "our", it means CF IT Solutions Pty Ltd.

What we collect

When you contact us or ask for a quote

  • Your name, business name, email address and phone number
  • The details you give us about your job, such as how many devices or mailboxes you have, your current email or domain provider, and anything you write in the message box
  • The page you sent the form from

When you call, email or message us on WhatsApp

  • Your contact details and whatever you tell us in the conversation

When you become a client

  • Billing details needed to invoice you
  • Information about your business systems, such as user names, device lists, network details and account access, which we need to do the work

When you visit our website

  • Technical information from Google tools, such as your browser type, device, approximate location (city level), the pages you visit and how you arrived at the site. This is collected with cookies and similar technology. It tells us which pages and ads are working. It does not tell us your name.

We do not ask for sensitive information such as health records. If we see sensitive information while working on your systems (for example, patient records on a clinic computer), see "Information we see while working on your systems" below.

Why we collect it

We use your information to:

  • reply to your enquiry and give you a quote
  • do the work you have asked us to do and support you afterwards
  • send invoices and keep business records
  • improve our website and measure whether our Google ads are working
  • meet our legal and tax obligations

We will not add you to a marketing email list without asking you first, and we do not sell or rent your information to anyone.

Information we see while working on your systems

Setting up or fixing IT systems sometimes means we can see files, emails or records stored on them. We only access what we need to do the job, we do not copy or keep your data unless the job requires it (for example, during an email migration), and we do not use it for any other purpose. Temporary copies made during a migration are deleted once the job is finished and you have confirmed everything has moved across.

Any passwords or access you give us are used only for the work and stored securely. We recommend you change shared passwords once a project is finished, and we are happy to help with that.

We only share your information with services we use to run the business, and only as much as needed:

We may also share information if the law requires it, or with an accountant or legal adviser who is bound to keep it confidential.

Information stored overseas

Some of these services store data outside Australia, mainly in the United States. We choose established providers with strong security, but by using our website forms you understand your details may be stored overseas.

How we keep it secure

We store information in password protected business accounts with two factor sign in turned on. Only Jeffry has access. Form submissions are sent over an encrypted (HTTPS) connection.

If a data breach ever happens that is likely to cause you serious harm, we will tell you and, where required, the Office of the Australian Information Commissioner (OAIC).

How long we keep it

  • Enquiries that don't go ahead: deleted within 2 years
  • Client records and invoices: kept for 5 years, as required for tax records
  • Data copied during a job: deleted once the job is finished

Accessing or correcting your information

You can ask what information we hold about you, ask us to correct it, or ask us to delete it (unless we have to keep it by law). Email info@cfitsolutions.com.au and we will reply within 30 days. There is no charge.

Complaints

If you have a privacy concern, contact us first at info@cfitsolutions.com.au or 0406 160 140 and we will try to sort it out within 30 days.
