How to migrate from GoDaddy email to Microsoft 365 (step-by-step guide)

GoDaddy email works until it doesn't. Limited admin controls, higher renewal fees, aggressive upselling, and a support line that keeps you on hold can eventually push any business owner over the edge. Step-by-step: How the Defederation Migration Works

Step 1 — Provision your standalone Microsoft Tenant

Establish a fresh subscription directly through Microsoft. During registration, use a temporary suffix domain like yourcompany.onmicrosoft.com. Do not attempt to assign your primary domain yet as it's still locked inside GoDaddy's ecosystem.

Step 2 — Audit and back up existing data

While a direct tenant switch preserves data on Microsoft's broader servers, errors during domain removal can cause profile disconnects. Run full metadata exports or local Outlook PST backups for every core staff member before requesting changes. Map out every alias (e.g., sales@yourcompany.com.au) so nothing is forgotten.

Step 3 — Initiate the "Defederation" process

To move your domain to your direct account, GoDaddy must release their ownership lock. This requires calling GoDaddy support or submitting a formal request to "Move my Microsoft 365 email away from GoDaddy."

Once processed, GoDaddy will break the syndication link. They will issue temporary administrative passwords for your mailboxes, converting them into independent accounts that are ready to be moved into your direct tenant.

With users active on the direct tenant, update your core DNS zones. Replace GoDaddy's custom routing values with standard Microsoft points (MX, SPF, and look up your new Autodiscover CNAME). This tells global web servers to send all new incoming client mail directly to your new independent account.

Step 6 — (If needed) Re-authenticate local workstations and mobile devices

Because the login portal changed from a GoDaddy wrapper to direct Microsoft infrastructure, old authorisation tokens on devices will break.

On every iPhone, Android device, Mac, and PC, your team members will need to remove their old email configuration profiles completely, restart the mail clients, and log back in using their brand-new direct Microsoft 365 passwords.


The Part Most People Get Wrong

Aggressive iPhone token caching

iPhones are notorious for caching old authentication tokens. After a tenant migration, iOS Mail apps will often continuously prompt for a password or silently stop fetching new messages. The absolute fix: navigate to Settings > Mail > Accounts, delete the account entirely from the device, and recreate it clean via the "Microsoft Exchange" option.

Ignoring hidden aliases

Rushing DNS propagation

When you update your MX routing flags, records don't update across the globe instantly. Some incoming client emails will land in the old mailboxes for a few hours while others reach the new one. Keep access to both portals open over the weekend to make sure you don't miss a thing.
